We would love to talk to you about thisfantastic opportunity.POSITION SUMMARY:Responsible for all clerical functions for the Environmental Services Department to include typing, filing, correspondence, reports, computer management, ordering of supplies, Kronos (payroll) for department, operating Bed tracking System, operating Sea Board System, assist in establishing a linen inventory management system to control linen distribution and loss, directs Environmental Services Aides, fill in for supervisor on vacation or out sick, and any other housekeeping duties as needed.--ESSENTIAL FUNCTIONS:1.---------- Answers telephone and responds to general questions, handle any complaints or questions from directors, nurse managers, charge nursed, employees or patients and/or refers calls to appropriate person, takes messages, and or initiates appropriate paperwork as requested. Also ability to answer other departments phones (Engineering, Facility Management) and takes messages and responds properly to calls.2.---------- Types interdepartmental memos, purchase orders, department minutes and other reports and correspondence.3.---------- Prepares and files work orders and purchase requisitions, maintains Bed Tracking files and reports, and sees that all project work is kept on schedule as required. Also, does QI Quarterly report.4.---------- Ensures that appropriate entries are made on equipment records, linen inventory, attendance tracker and employee files.5.---------- Verifies that payroll printouts are correct and turned in on a timely basis with appropriate corrections. Updates Kronos on a daily basis to insure proper staffing.6.---------- Performs wide variety of special tasks and related duties as assigned.7.---------- Revises and update manuals as needed.8.---------- Maintains preventive maintenance schedule on all Environmental Services equipment.9.---------- Shall observe safety rules and regulations at all times10.---- Promotes positive customer service skills with internal and external customers11.---- Assist in monitoring work schedules to assure full coverage 24 hours a day, seven days a week. Assists supervisors to plan the daily activities of assigned personnel and periodically inspects jobs completed for quality of work and compliance with all environments service standards.12.---- Help to ensure compliance of established standards and work procedures in accordance with the established policies and procedures of Del Sol Medical Center.13.---- Inspection and evaluation of the physical and aesthetic conditions of Del Sol Medical Center facilities. Reports recommendations for areas that may require renovation and/or repair.14.---- Report any and all unsafe conditions and ensure the immediate response to all calls for cleaning up of unsafe spills, etc.15.---- Responsible for maintaining an inventory of departmental supplies, linen and equipment. Responsibilities include the selection and requisition of replacement supplies and equipment.16.---- Supervise, to include daily contact with employees and periodic meetings with department employees.17.---- Responsible for visiting various units within Del Sol Medical Center and spot-checking work progress and activities on a regular basis. Responsibilities include the quality of the work performed, the timeliness of employees performing the work and for ensuring compliance with minimum standards of quality and quantity.18.---- Responsible for conducting periodic patient satisfaction interviews throughout the various units of the facility.19.---- Assures that all supervisors conduct periodic room and area inspections, that inspection form are completed correctly, staff is informed of inspection results and inspection forms are turned in on a timely manner for reporting purposes.20.---- Responsible for daily and periodic reports of environmental service activities, work done, in progress and scheduled.21.---- Periodically inspects machines and equipment for preventive maintenance needs and accident prevention.22.---- Trains and observes employees to ensure the proper use of prescribed safety equipment and safety procedures and techniques.23.---- Assists in the compliance and review of the established system for reporting and investigating all incidents that involve illness and injury as a result of environmental services activities. Assists in the preparation of reports of findings with recommendations for corrective action.24.---- Performs individually or as a member of groups assigned tasks during emergencies such as fires, snow removal or disasters.25.---- Communicates, cooperates and performs related duties with other members of hospital staff in a courteous and efficient manner to achieve overall hospital goals and objectives.26.---- Other duties as assigned.--PERFORMANCE OUTCOMES:-------------- 1.---------- Individual Leadership/Practices Professionalism:-- Performs, participates, implements and evaluates personal performance, opportunities for personal growth and ability to change.-- 2.---------- Customer Service:-- Demonstrates customer service skills with both internal and external customers.   • To show leadership within the department, to be fair and help any employee with any problem, concern or dilemma involving their work.
  • Bilingual in English/Spanish languages required including writing-- and punctuation for translations. Knowledge of general office skills. Knowledge of Microsoft Word, Excel, WordPerfect, Bed tracking and the Internet.
  • Ability to understand and follow oral and written directions, ability to check numbers for accuracy and to proofread typed records and correspondence; ability to establish and maintain effective working relationships with department and hospital personnel; ability to communicate and deal tactfully with persons of different educational and cultural background.
  • Skilled in the operation of personal computer, typewriter, desk calculator, copy machine, fax machine and related office equipment. Also skilled in the operation of housekeeping equipment such as buffers, scrubbers, shampoo machines and other related cleaning equipment.
  • Ability to learn and perform all essential job functions accurately with minimal direct Supervision within probationary period.
  • Knowledge of methods, materials and techniques related to the requirements for effective cleaning, sanitation, and maintaining the aesthetic condition of the assigned facility.
  • Ability to manage limited resources and meet deadlines and timeframes.
